Job Description

The California Water Efficiency Partnership (CalWEP) seeks a part-time Accounts Assistant to join its staff and help achieve its mission to maximize urban water efficiency in California. We are a small team with an outsized impact located in downtown Sacramento.

What the job entails:

This position works closely with our Controller to complete the following duties:

Accounts Payable :

  • Process, verify, and reconcile invoices from vendors and suppliers in compliance with company policies.
  • Ensure accurate and timely payment processing, including preparing checks and electronic payments.
  • Maintain vendor accounts, resolving discrepancies and responding to inquiries promptly.
  • Assist in month-end and year-end closing procedures by preparing necessary reports and reconciliations.

Accounts Receivable:

  • Generate and send out customer invoices and statements in a timely and accurate manner.
  • Monitor accounts receivable aging, following up on overdue accounts and initiating collection procedures as necessary.
  • Reconcile cash receipts and maintain accurate records of payments and credits.
  • Collaborate with the membership team and members to address billing discrepancies and resolve payment issues.

General Financial Support:

  • Assist in preparing and maintaining monthly financial reports for the Direct Distribution Programs.
  • Support the finance team with additional clerical tasks and administrative duties as required.
  • Maintain confidentiality of financial information in accordance with the organization’s policies.

Who you are:

Required Qualifications :

  • High school diploma or equivalent; associate’s or bachelor’s degree in accounting, finance, or related field preferred.
  • Minimum of 1 year of experience in accounting or bookkeeping, preferably within a nonprofit setting.
  • Proficiency in accounting software (CYMA preferred) and Microsoft Office Suite with demonstrable knowledge of Excel.
  • Strong attention to detail and accuracy in data entry and financial reporting.
  • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
  • Strong communication and interpersonal skills to interact effectively with staff and member organizations.

Preferred Qualifications :

  • Familiarity with nonprofit accounting principles, including fund accounting and restricted/unrestricted funds.
  • Strong problem-solving skills with the ability to identify and resolve discrepancies.

Physical Requirements :

  • Office environment with occasional lifting of up to 30 lbs.

Compensation & Benefits:

  • This is a part-time position, requiring approximately 12-15 hours per week.
  • The position is in-office, with flexible scheduling for days and hours.
  • The hourly wage begins at $25 per hour, with the potential for adjustment based on qualifications and experience.
