Job Summary:

The Assignment Coordinator plays a crucial role in supporting and working closely with the CEO & recruiting team in the daily operations of our staffing process. This position is responsible for coordinating healthcare professional assignments, ensuring smooth onboarding, maintaining accurate schedules, and serving as a liaison between clients, candidates and recruiters to ensure seamless staffing operations. You will organize sales-related documentation and provide administrative support to our recruiters. The ideal candidate will have excellent organizational skills, strong attention to detail, sense of urgency, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Provide daily administrative support to CEO and Principle Recruiter
  • Also providing support when needed to other agents/admin related duties when instructed by CEO for overall company support.
  • Navigate and manage Vendor Management Systems (VMS); inputting and running candidates through the VMS and handling the communication, compliance required and support on the various VMS we use.
  • Follow up with candidates consistently to expedite placements pre and post placement.
  • Coordinate healthcare professional assignments across facilities nationwide.
  • Schedule client interviews and confirm logistics with all parties.
  • Serve as a key administrative point of contact for clients and providers during active assignments.
  • Monitor staffing needs and proactively match qualified candidates to open positions.
  • Maintain accurate records of placements, compliance documents, and assignment details in Salesforce.
  • Create and send candidate and client confirmation letters within an hour of offer details receipt; conduct daily follow-ups to ensure timely signatures.
  • Process placement orders, extension requests, and documentation updates in the database.
  • Collaborate with credentialing to ensure candidates meet client-specific requirements and deadlines.
  • Assist and follow up with candidates to make sure they complete credentialing documents (welcome packet) in a timely manner
  • Clearly communicate assignment details to providers, including schedules, responsibilities, travel, and facility expectations.
  • Track contracts start/end dates and manage renewals, extensions, or replacements.
  • Resolve assignment-related issues and conflicts professionally and promptly.
  • Maintain strong client communication and ensure high satisfaction through timely updates.
  • Assist with time sheet-tracking, payroll coordination, and invoice follow-up as needed.
  • Support additional administrative tasks and special projects as needed.

Qualifications:

  • 1–2 years of experience in healthcare staffing, scheduling, or a similar administrative/coordination role (preferred).
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent communication and interpersonal abilities, both written and verbal.
  • Proficient in Microsoft Office Suite and applicant tracking systems (experience with Salesforce a plus).
  • Strong calendar & time management skills
  • High attention to detail and a commitment to data accuracy.
  • Strong sense of urgency
  • Ability to build strong working relationships with both healthcare professionals and facility clients.
  • Problem-solving mindset with a proactive approach to addressing challenges.
