Job Description

Our client, a leading global concrete contracting company, is seeking a polished and highly organized Executive Assistant to support the Regional Vice President at their Rutherford County, TN office. This is an excellent opportunity for a proactive team player with exceptional time management skills, a strong work ethic, and the ability to anticipate and meet the needs of executives in a fast-paced environment.

Key Responsibilities

  • Manage complex calendars, prioritize meetings, and ensure seamless scheduling.
  • Monitor and manage emails, addressing time-sensitive matters promptly.
  • Answer phone calls and act as the first point of contact for the executive team with professionalism and discretion.
  • Liaise with internal teams and external stakeholders to facilitate effective communication.
  • Maintain organized filing systems (both electronic and paper) for easy accessibility.
  • Coordinate comprehensive domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Prepare, process, and reconcile expense reports with accuracy and efficiency.
  • Provide data entry and general administrative support.
  • Assist with special projects and handle ad hoc tasks as needed.

Ideal Candidate Profile

  • Experience: 3-5+ years in senior administrative or executive assistant roles, preferably within a corporate environment.
  • Skills: Highly organized, solutions-oriented, and adept at multitasking with excellent verbal and written communication.
  • Tech-Savvy: Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook) and familiar with Egnyte.
  • Attributes: Proactive, detail-oriented, and able to manage competing priorities effectively.

Work Schedule:

  • Fully onsite | Monday – Friday
