Role Description

As our Office Administrator and Bookkeeper, you’ll be the first point of contact for customers—answering calls, responding to emails, and coordinating schedules—while also ensuring our financial records and accounts are accurate and well-organized in a fast-paced environment. This position offers a rare opportunity to experience Fire Island in the off-season — a quieter, more special setting that few have the chance to enjoy.

🛠 What You'll Do:

  • Be the friendly and professional first point of contact — answering phones, greeting visitors, managing mail/packages.
  • Maintain and update client and project files with precision and confidentiality.
  • Manage time cards, process payroll data, and support HR-related documentation.
  • Coordinate schedules, meetings, and daily workflow in a bustling office.
  • Deliver outstanding customer service to clients throughout their homebuilding journey.
  • Handle vendor and subcontractor communications and documentation.
  • Oversee office supply purchasing and inventory.
  • Prepare reports, contracts, and project-related documentation.
  • Ensure compliance with all State and Federal regulations (labor, payroll, workers’ comp, etc.).
  • Record accounting on our software and keep digital files organized.

📌 The Ideal Candidate:

  • 3+ years of administrative or office management experience.
  • Proficient in Microsoft Office and QuickBooks Online (a must).
  • Excellent organizational and time management skills.
  • Strong knowledge of basic accounting, payroll, and office procedures.
  • Friendly, professional communicator with strong attention to detail.
  • Comfortable juggling multiple tasks and taking initiative.
  • Experienced with invoicing, scheduling, and compliance tracking.
  • Able to handle confidential information with care and integrity.

⭐ Nice to Have:

  • Experience with human resources support or labor compliance.
  • Familiarity with construction or home building industry.
  • Love of the beach is optional… but definitely a plus!

🏝 Important Details:

  • This is an in-person role based on Fire Island.
  • Transportation is provided daily from Bay Shore, NY:
  • Departing 7:00 AM to Fire Island
  • Returning 4:10 PM to Bay Shore
