Our Office Administrator provides administrative support for the firm and supports the Office Manager, assisting as a vital connection between our staff, leadership team, vendors, etc. Offering a friendly collaborative culture, we are seeking a talented candidate who will thrive in a professional services firm providing high level office administration.

The position offers flexibility with hours – we need thirty hours per week from mid-January through April – and are flexible with the remaining months. You can work a light schedule of about one day per week in the summer (perfect for coordinating with summer school schedules).

Responsibilities include:

  • Assist with daily office functionality and general communication flow
  • Report office progress to management and work with them to improve office operations and procedures
  • Answer telephone calls and emails from clients and direct to relevant staff; admin responsibilities for RingCentral communications platform
  • Maintain portal service for clients and manage notifications to Team
  • Process tax packages and financial statements, package reports
  • Help maintain vendor relationships (supplies, mail, UPS, etc.)
  • Exemplify professionalism and embrace a “roll up your sleeves’ attitude
  • Create and maintain an office environment that is clean and safe

Qualifications and Skills:

  • Strong written and verbal communication
  • 2-3 years of demonstrated experience as an administrative/office assistant or similar role in a professional environment
  • Notary certification a plus
  • Deep knowledge of MS Office Suite
  • Excellent time management skills and the ability to independently prioritize work
  • Organization skills with the ability to multitask to complete a wide variety of tasks
  • Strong interpersonal skills to interact positively with all team members
