Job Description

This position is for the 2025-2026 School Year

Compensation package for this position starts at $50,000

Primary Purpose:

The Travel Specialist is responsible for processing and monitoring all travel-related transactions and reimbursements. This position ensures that all travel complies with TEA guidelines, board policies, and internal procedures. The Travel Specialist works closely with staff to support documentation, approval routing, and travel card reconciliations.

Qualifications:

  • High school diploma or equivalent required; associate’s degree preferred
  • Minimum 2 years of administrative or financial processing experience
  • Familiarity with TEA travel regulations and standard reimbursement practices
  • Strong organizational skills and attention to detail
  • Proficiency with financial systems and Microsoft Office

Preferred Experience:

  • Experience in K-12 or charter school finance department
  • Knowledge of EDGAR and federal cost principles related to travel
  • Audit support and policy enforcement experience

Major Responsibilities and Duties

  • Assisting staff with travel arrangements that align with charter support
  • Working closely with travel and car rental agencies as well as hotels to confirm trip details
  • Review and process employee travel reimbursement requests for accuracy and compliance
  • Verify required documentation and ensure travel expenses align with board-approved policy
  • Support the administration of the travel card program including reconciliation and audit trails
  • Maintain accurate travel records and reports for audit and reporting purposes
  • Assist staff with understanding travel procedures and pre-approval workflows
  • Coordinate with budget and accounting teams to ensure proper fund coding of travel expenses
